Who we are
This Privacy Policy describes how printx-ai(“we”, “us”, or “our”) handles personal information for the printx-ai website, web application, and mobile applications (together, the “Services”), including the Android app ai.printx.mobile.

Information we collect
Depending on how you use printx-ai, we may collect:
- Account information. Name, email address, password (stored in hashed form), workspace membership, and profile details you provide.
- Authentication data. If you sign in with Google or Microsoft, we receive identifiers and basic profile information those providers share with us, plus tokens needed to keep you signed in and to connect calendars or meeting platforms you authorize.
- Meeting content. Audio, transcripts, summaries, action items, notes, chat messages, share links, and related metadata when you record a meeting, invite the PrintX Notetaker bot, or upload content.
- Microphone audio. On web and mobile, we access the microphone only after you grant permission, and only to capture live meeting audio for transcription. We do not record in the background without an active session you start.
- Calendar and meeting connections. If you connect Google Calendar, Google Meet, Zoom, or Microsoft Teams, we process meeting titles, times, join links, and the access tokens required to join as PrintX Notetaker. The host remains in their own Meet, Zoom, or Teams meeting; our bot joins as a participant.
- Billing information. Paid plans are processed by Razorpay. We receive payment status, subscription identifiers, and limited billing metadata. We do not store full card numbers on our servers.
- Device and usage data. App version, device type, crash and diagnostic logs, IP address, and approximate location derived from IP, used to operate, secure, and improve the Services.
- Support communications. Messages you send to support@printx.ai or WhatsApp support, including account-deletion requests.
How we use information
We use personal information to:
- Create and manage your account, workspaces, and subscriptions.
- Join authorized meetings, transcribe audio, and generate notes, summaries, and follow-ups.
- Provide search, sharing, and collaboration features you enable.
- Process payments and prevent fraud.
- Send transactional email (sign-in, billing, security) and respond to support requests.
- Secure the Services, debug issues, and improve product quality.
- Comply with law and enforce our Terms of Service.
We do not sell your personal information, and we do not use meeting audio or transcripts to train public AI models.
How meeting capture works
When you start a live recording or send PrintX Notetaker to a Google Meet, Zoom, or Microsoft Teams meeting, audio is streamed through our realtime infrastructure (including LiveKit) and transcribed (including via Whisper or equivalent speech-to-text processing). Transcripts and generated notes are stored in your account so you can search, share, and revisit them.
You are responsible for obtaining any consent required from meeting participants before recording or inviting a notetaker bot, and for complying with applicable recording laws.
Mobile app permissions
The Android and iOS apps may request:
- Microphone — to capture live meeting audio for transcription when you start a recording.
- Notifications — to alert you about meetings, processing status, or account activity you enable.
- Network access — to sign in, sync meetings, and stream audio to our services.
You can deny or revoke microphone and notification access in your device settings. Core account features still work, but live transcription will not.
Sharing and processors
We share information only as needed to operate the Services:
- Identity providers: Google and Microsoft, when you use OAuth sign-in or calendar/meeting connections.
- Meeting platforms: Google Meet, Zoom, and Microsoft Teams, when you authorize a connection so PrintX Notetaker can join.
- Infrastructure: hosting, realtime audio (LiveKit), and speech-to-text processors that act on our instructions.
- Payments: Razorpay, for checkout and subscription billing.
- Legal and safety: if required by law, to protect rights and safety, or in connection with a merger or acquisition.
Workspace members you invite may see meetings, notes, and files shared in that workspace.
Cookies and similar technologies
We use essential cookies and similar storage to keep you signed in, remember preferences, and protect against abuse. We do not use advertising cookies to track you across third-party sites. You can control cookies in your browser; disabling them may prevent sign-in from working.
Data retention
We keep account, meeting, and transcript data for as long as your account is active, unless you delete a specific meeting or request account deletion. Backup copies may persist for a limited period. Billing records may be retained as required for tax and accounting.
Your choices and rights
You may:
- Access and update account details in Settings.
- Disconnect Google, Microsoft, Zoom, or Teams integrations.
- Revoke microphone or notification permissions on your device.
- Request deletion of your account and associated personal data as described on our account deletion page.
Depending on where you live, you may also have rights to access, correct, export, or restrict processing of your personal data. Email support@printx.ai to exercise those rights.
Children
printx-ai is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact support@printx.ai and we will delete it.
Security and international transfers
We use administrative, technical, and organizational measures designed to protect personal information. No method of transmission or storage is completely secure. Information may be processed in India and other countries where we or our processors operate.
Changes
We may update this policy from time to time. The effective date at the top of this page will change when we do. Continued use of the Services after an update means you accept the revised policy.
